Your trust matters. Connection begins with respect.

Brothers of Bhundoo Inc. (BOB) is a NSW incorporated association bringing people together through men's wellbeing activities, community gatherings, camps and mentoring. We do not provide clinical healthcare or professional counselling.

This notice explains how we handle information through our website, enquiries and Community Connection Form.

One community intake, with room for a simple enquiry

We are bringing our community signup and involvement links together through the BOB Community Connection Form. Whether you want to join gatherings, support the community or stay in the loop, this form is our main community intake. The Connect page at www.brothersofbhundoo.org/connect embeds the existing Tally form, which uses Make to transfer responses into Airtable. You can still ask a general question through our website contact form or by emailing info@brothersofbhundoo.org, without completing community signup.

What we collect

Depending on how you connect with us, we may collect:
• your first name, surname, email address, mobile number and suburb or area;
• how you would like to be involved, previous BOB involvement and how you heard about us;
• interests, skills and experience, willingness to contribute, and qualifications, equipment or resources you choose to mention;
• community ideas, enquiries and other information you choose to provide;
• an over-18 confirmation for gathering participants; and
• communication preferences, consent choices, submission identifiers, timestamps and the consent wording/version associated with your response.

Skills, interests and contribution questions are optional. Please avoid including health details, licence numbers or other sensitive information, or private information about another person. We do not ask for certificate, licence or medical-record uploads in the Community Connection Form. If you are here to share BOB with someone else, you can use the sharing links without submitting personal details.

Why we use it

We use information to respond to you, understand community interests and offers, organise BOB activities, manage involvement and keep appropriate records. If you leave out information, we may be unable to respond or arrange the involvement you request.

Community form responses are held in Airtable Community Responses for human review. The intake workflow does not automatically create or update a People contact, change membership status or send marketing messages. Skills, interests and willingness to contribute are recorded separately; knowing a skill does not itself mean you have volunteered it.

Keeping in touch is your choice

Selecting an involvement pathway does not itself subscribe you to optional updates. Email and SMS choices are recorded separately. Any optional communications must follow the choices you have made; a website button, an enquiry, event booking or donation is not itself permission for marketing.

Earlier website newsletter signups and any associated confirmation or unsubscribe records may remain in Squarespace. Replacing a signup form does not erase that history or create new consent. We will not treat a historical contact as newly opted in simply because we change systems.

You can change your preferences or unsubscribe at any time using the message's unsubscribe option or by emailing info@brothersofbhundoo.org. Unsubscribing from optional updates does not prevent a necessary reply to an enquiry you initiate.

Our systems and service providers

Squarespace hosts our website. Tally collects Community Connection Form responses; Make transfers them to Airtable, our main community intake and review database. These services also hold information needed to deliver and maintain their services, so Airtable is not the only place where a copy may exist.

Our website enquiry forms store submissions in Squarespace Contacts. Earlier newsletter subscriptions also remain in Squarespace Contacts unless separately reviewed and removed. Email enquiries and replies are held in the mail services used by BOB. Records may also remain in workflow logs, authorised exports and provider backups. Changing the website intake does not automatically migrate, combine or delete legacy records held in Squarespace or other services previously used by BOB.

Humanitix event bookings and PayPal donation tools are separate from community signup. Details needed for a booking or payment are handled through those providers and their privacy terms. Booking or donating does not automatically subscribe you to community updates or merge a record into our People database.

Our providers operate internationally, so information may be processed outside Australia, including in the United States and Europe. Exact locations depend on each provider and account settings. We limit BOB access to people who need information for their role and use reasonable safeguards to protect it. No online service can be guaranteed completely secure. We do not sell or rent our community contact list.

BOB, TAO and Picassos

BOB's intake workflow does not automatically share your response with TAO or Picassos, or subscribe you to their communications. Any separate sharing or new use would need an appropriate basis and clear information for you. We may disclose information where required or authorised by law.

Website visits, embedded services and sharing links

Squarespace and embedded services, such as event booking, donation, video and podcast players, may receive technical information such as IP address, browser/device details and page activity. Cookies can support website functionality and, depending on configuration, analytics. You can manage cookies through your browser.

When you follow a social-media or WhatsApp sharing link, that service handles information under its own privacy terms. You choose whether and with whom to share; BOB does not send the referral message for you.

Storage, access, correction and deletion

We keep information while reasonably needed for BOB's purposes or applicable recordkeeping requirements. We review the personal information we retain at least annually, and when a service, purpose or provider changes. This review includes current community records, legacy website submissions and subscriber records, authorised exports, access permissions and available backup arrangements. We delete information or de-identify it so people are no longer reasonably identifiable when it is no longer needed, subject to applicable legal, safety and recordkeeping requirements. We do not keep information indefinitely just because storage is available.

Email info@brothersofbhundoo.org to ask what information we hold about you, request a correction or deletion, change preferences, or raise a privacy concern. Please tell us which form or activity you used so we can check relevant current and legacy systems. We may ask for enough information to verify your identity, without requesting unnecessary sensitive documents.

We will consider your request and explain any information we need to retain and why. Removal from provider backups may take longer. A minimal suppression record may need to remain so we can honour an unsubscribe request.
